โ„น๏ธ Overview

With closed access, only those attendees who have been registered by the organizer, can enter the event. Before the event, the organizer will create a list of participants, marking their name and one of the following: email, PID (personal identification number) or ticket code. The registration list is loaded into the Worksup environment. A registered participant can get access to the event by entering their identification at the gate.

๐Ÿ’ก Use case

  • Closed access is wise to use if the organizer wants to have control over who is taking part in the event.

  • Closed access makes it more convenient for event attendees, as they do not have to register themselves or fill out a profile, but instead everything is done for them.

โš™๏ธ How to set up a closed access gate?

NB! Independently, the organizer can only set up a closed access gate with email authentication.

The closed access gate can be configured independently under the "GATE" module (more about it HERE).

  1. Go under the "GATE" module > select Registration with authentification > Pre-registred access.

    1. Fill in the following text-fields: "Greeting", "Message to show for unregistered attendees", "Instructions to enter the verification PIN-code from e-mail".

  2. Next, set up your Authentification Email Template.

    To do so:

    1. Scroll down to the end of "Gate" section > "Authentification Email Template" > Edit email template.

    2. Create the letter, by either choosing "Plain text" ("what you see is what you get" editor) or "HTML" (allows you to create custom design). Choose "Create".

Available placeholders:

  • {{email}}- participant's email address. Input comes from the email you marked on registration.

  • {{name}}- participant name

  • {{eventName}}

  • {{eventLink}}- event URL

  • {{authenticationPinCode}}**- the unique PIN code of the participant. Adding this placeholder is mandatory, otherwise the code will not be sent to the participants.

3. Choose "Update"!

4. Last step is to register your participants (more about it here).

To do so:

  1. Go to the "REGISTRATIONS" module and click on the "+" button in the upper right corner.

  2. Choose "bulk import from an xlsx file"

  3. Download attendee list template (in red), fill it out with participants' data and then upload it to Worksup (Upload xlsx file) > Import.
